We are located in immediate proximity to the communities we serve. We consider ourselves neighbors both with regard to our corporate approach and the service provided by our staff.  We strive to keep our administrative costs low and our overhead at a minimum, even as we employ the most up-to-date secure information technology for our financial and management services.  This enables us to pass on our savings to our clients and be cost effective. 

 

LOCATION

We maintain a centrally located address for all mail and personal deliveries with extended service hours (including Saturdays), as well as a small administrative office in Midtown Houston in immediate proximity to our client base.

 

FILE STORAGE

All client documents are maintained in digital format whenever possible.  All records are then stored according to industry standard fiduciary or legal requirements (recommended for a minimum of 7 years).  Digital records are backed up securely off-site in regular intervals (daily/ weekly/ monthly) according to current industry standards.  Off-site storage for other hardcopy documents is provided per clients’ request as needed, at an additional cost.

 

INFORMATION & RECORD SECURITY

Records and access to records are fully secured according to industry standards (controlled authorized access).

 

FINANCIAL & MANAGEMENT INFORMATION SYSTEMS

We use a comprehensive distributed web/cloud based management information system for all financial and management transactions of our clients. Our system allows import and export of all data and reports in widely accepted standard formats (such as MS Office, PDF, database formats etc.) which can easily be made available to our clients as needed.  Direct access to this system and its databases is available at an additional cost for individual board members.

 

TRAINING OF STAFF, PROFESSIONAL DESIGNATIONS AND CONTINUITY OF SERVICE

Midtown Management staff and our affiliated partners (if applicable) keep current with legal and professional licensing requirements, such as CAI membership and professional designations when involved in the management of our clients’ associations.  7/24/365 emergency coverage with live operators at all times, property manager backup, crossover training and record access are part of standard operating procedure and are provided at no additional cost.

 

INSURANCE

Midtown Management shall be responsible for its conduct in accordance with applicable laws, and will keep in force sufficient professional liability insurance in the amount of no less than $1,000,000 at all times.
